Administrative Assistant - Green Level Baptist Church
Green Level Baptist Church in Cary, NC is prayerfully seeking to fill the position of Part Time Administrative Assistant.
The Administrative Assistant serves Green Level Baptist Church by assisting the day-to-day office work of our Pastor(s) and Staff, as well as the ongoing ministries of our Church.
OBSERVABLE QUALIFICATIONS
The person called and confirmed to this role should be a committed follower of Jesus Christ who is: Competent, with strong, demonstrable skills in communication and organization. Humble, with a Christ-like focus to serve others before self. Relational, with a commitment to connect and work well with others, including our pastor(s), ministerial staff, members, guests. Intentional, with a desire to glorify God and serve this church in everything he or she does, even if the task appears menial. Self-motivated, with a strong, internal work ethic and desire for excellence. Teachable, with a desire to learn and grow both personally and professionally. Loyal, with an honest, high moral character that avoids gossip and maintains confidentiality. Invested, with a desire to be part of our church and not just an employee of it. Knowledgeable, with skill and proficiency in Microsoft Office and church management software preferred. Enthusiastic, with a passion to participate in the life of the church as an active member of the church.
EDUCATION NOTE
Candidates who have received a bachelor’s degree or are working toward earning one are preferred.
RESPONSIBILITIES
A. First, the Administrative Assistant will assist the day-to-day work our Pastor(s) and Staff, as well as the ongoing ministries of our Church, by: Establishing a consistent presence and “front desk” in our Church Office. Being an in-office liaison for members and guests, as well as vendors, suppliers, and service providers. Handling day-to-day administrative tasks (i.e. distributing mail, answering telephone, taking messages, making copies, scheduling appointments, etc.) under the direction of our Pastor(s). Ordering and maintaining sufficient church and office supplies with consideration to the appropriate budgetary line item. Organizing and maintaining accurate office files, including important church documents (e.g. church constitution, by-laws, conference minutes, vendor information, etc.). Partnering with our Media Assistant both to maintain (a) clear and consistent church communications, including through emails and printed materials, and (b) accurate and up-to-date records via our church management software, including our membership roll, church calendar, and facility reservations. Printing and preparing (for distribution) materials both for Sunday morning (i.e. bulletin, inserts, handouts, etc.) and other ministry meetings (i.e. Bible studies, kids and students, ministry team/committee meetings, etc.) Handling additional tasks, as deemed necessary, at the request of our Pastor(s).
B. Second, as a staff member and employee of Green Level Baptist Church, the Administrative Assistant will exhibit the following five “marks”: Maintaining Christ-likeness and confidentiality in conversations with our Pastor(s), Staff, Deacons, Ministry Leaders, Membership, and Guests.
Note:
The Administrative Assistant may be asked to perform the ministerial act of prayer with an individual about an issue. All prayer requests must be kept in confidence and shared only with the Pastor(s). Agreeing with the Baptist Faith and Message 2000, as well as the mission and vision of Green Level Baptist as an active member. Resolving to pray regularly for the glory of God, the good of Green Level Baptist Church, and the spread of the Gospel from our neighborhoods to all nations. Keeping a close eye both on “life and doctrine” (cf. 1 Tim 4:16), striving to model Christlikeness “in speech, in conduct, in love, in faith, [and] in purity” (cf. 1 Tim 4:12) in our Church and community. Signing the acknowledgement form indicating that he or she has read the current version of the Personnel Manual.
EXPECTATIONS
While day-to-day hours can be adjusted as necessary under the direction of our Pastor(s), the expectation is that the Administrative Assistant would work in the office 20 hours per week: 10:00am-2:30pm Monday through Thursday and 10:00am-12:00pm on Fridays. This individual may sometimes be asked to attend a staff meeting, but will not be expected to do so weekly apart from the prayer and devotional portion. As with all employees of Green Level Baptist Church, the Administrative Assistant will work with the Pastor(s) to set annual goals, which will be used in the annual Performance Review submitted to the Personnel Committee.
PAID LEAVE
As a part-time permanent non-exempt position, the Administrative Assistant is entitled to ten (10) days PTO. Should other (non-paid) extended leave be needed, prior arrangement should be made with the Senior Pastor. In case of sickness, the Senior Pastor should be contacted so that temporary coverage may be arranged as needed. Accrued vacation time will be compensated to employee who resigns or is terminated by the church. Vacation must be used in the year that it is accrued and cannot be carried over into the next year. Scheduled vacation will be coordinated and approved by the Senior and Associate Pastors. In the case of prolonged illness, continued payment will be at the discretion of the church. The Administrative Assistant is a permanent part-time position not to exceed 30 hours per week, though the expected average is 20 hours per week. Salary recommendations will be determined by the Personnel Committee in conjunction with the Finance Committee. Recommendations will be voted on during the budgeting process. Any salary adjustments that result in a change in the budget will be voted on by the Church Congregation.
