Administrative Assistant - Job Description


Responsibilities:
  • Serving as the receptionist based on a set daily schedule for all Church members and/or visitors, attending their needs by directing them to specific staff members or
  • Church leaders via phone calls, text messages, emails or composing and mailing printed materials.
  • Establish an electronic file structure to store all Millbrook administrative documents, monthly records and any associated communications
  • Provide information on video materials to congregates and maintain consistent Millbrook design for content on web, video and printed materials
  • Set Zoom meetings, including sharing links and password with Millbrook committees for meeting purpose
  • Using online content from the weekly “messenger” to create a summary by-weekly, printed Messenger and mail to those who prefer the printed format (include prayer and congregational assistance list)
  • Receive packages and mail, distributing such to appropriate staff and/or church volunteers. 
  • Answer all church office phone calls and direct request to specific staff and church members.
  • Coordinate purchase and delivery of office supplies.
  • Ensure that all office equipment is properly maintained and in good working condition
  • Admit entrance to the building service agents who need to repair and maintain the building and facility systems (telephone, air conditioning and heat, plumbing, cleaning, etc.) by maintaining contacts and working with identified Church leaders to ensure that all systems are working efficiently.  This includes outside organizations that use Millbrook facilities for meetings, i.e., TOPS.
  • Check all church entrances to assure they are properly locked and secured before leaving each day.
  • Assist the Ministerial staff and Preschool Director as requested.
  • Valuing, coordinating and guiding the work of office volunteers

Position Details
  • Staff Category:  Administrative
  • Supervisor:  Senior Pastor in collaboration with Personnel Committee
  • Employment Category:  Non-Exempt (covered by the Fair Labor Standards Act)
  • Scope of Work:  Duties listed above will be completed during a 30-hour work week at the church office, Monday – Friday, 9:30 a.m. – 1:30 p.m.

EMAILS (Constant Contact)
  • Design and schedule “Also With You” newsletter (weekly)
  • Schedule Bible chat reminder emails (weekly)
  • Schedule event remainder emails such as Holy Week, Advent, back to school, etc. as needed
  • Send urgent emails such as sympathy, weather cancellation, etc., as needed

ZOOM
  • Schedule and send invites for churchwide, deacon and other committee meetings
  • Host or provide Zoom link and login to churchwide, deacon and other committee meetings
  • Troubleshoot with folks who are having trouble logging into Zoom meetings

ESSENTIAL SOFTWARES AND PROGRAMS
  • Microsoft Office
  • Adobe Creative Suite
  • Zoom
  • Constant Contact (Mail Chimp experience comparable)

Position Qualifications
  • Preferred academic preparation will include a bachelor or associate degree from an accredited college or university
  • Proficiency in PC software applications – MC Office
  • Experience in an office setting similar to Millbrook is highly desirable
  • Excellent communication, organizational and interpersonal skills
  • High moral, ethical, and professional character in support of the ministries and outreach of Millbrook Baptist Church.
  • Ability to be a team member while also being self-directed and independent, seeing what needs to be done and moving forward in support of all staff and the Church
